composers. Our sound libraries and virtual instruments are created together with the best

and released over 80 sample libraries including collaborations with the likes of Hans Zimmer
and the BBC Symphony Orchestra. Our sounds can be heard across blockbuster Hollywood

The Projects Support Officer will fulfill a key administrative role within Spitfire’s Project
Management department, who are responsible for ensuring all projects are delivered in
accordance with our company roadmap, to the expected quality, on time. Reporting into the
Head of Projects, they will assist the team in the day to day running of all projects. This will
involve project planning, monitoring timelines, organising and attending key project meetings,
risk and issue management, preparing and maintaining documentation, upholding processes
and writing reports. The scope of projects will be diverse, from supporting the development of
new product releases and software implementation, to working with teams on large seasonal
marketing campaigns and rolling out important internal organisational projects.

PRIMARY TASKS & OBJECTIVES

● Providing day to day support and assistance to the Project Management team
● Administration and maintenance of project and resource planning softwares
● Daily communication and collaboration with multiple teams (Product Development,
Engineering, Marketing and Customer Experience) to support their work
● Monitoring stage plans and milestones across multiple projects within the agreed
tolerances
● Running through product launch checklists with the Marketing team and overseeing
the practical launch of products on release day
● Working with Project Managers to update project plans as changes arise
● Identifying risks throughout the duration of a project and recommending mitigation
strategies
● Setting up and maintaining project files
● Ensuring all project documents are correctly stored and populated with the relevant
information at the correct time, distributed to project teams in a timely manner
● Facilitating and attending project meetings, taking minutes, capturing action points,
and following up with project teams
● Writing meeting agendas and guiding key project meetings
● Upholding project processes and abiding by best practice
● Engaging with the workflows of different teams and helping them to optimise their
practices where appropriate
● Writing succinct and focussed daily reports for the Head of Projects and CEO on
progress against milestones, raising exceptions where necessary

ESSENTIAL

These skills are essential to the role:
● Previous experience in:
○ A team support or assistant role
○ Diary management and scheduling
○ CMS
● Highly organised, productive and diligent in nature
● Confident verbal and written communication
● The ability to cultivate and maintain meaningful relationships with teams and
stakeholders at all organisational levels
● Must be a collaborative team player able to work across multiple functions, locations,
and cultures

DESIRABLE

These skills are not essential but would be highly desirable:
● Previous experience in:
○ A project management role
○ Work-flow organisation
○ A software development or music technology environment
● Familiarity with file management and project management softwares Asana and Jira
desirable
● Familiarity with the principles of PRINCE2 Project Management and Agile
Methodologies. PRINCE2 Certification desirable, but not mandatory
